Cut Costs & Sharpen Profits

Why our past is vital to your future in Wholesale Distribution and Cash & Carry

Man's ingenuity knows no bounds. For centuries he has been developing tools to give him control over his destiny, improve the quality of life and help him to be more efficient and productive. From inventing the wheel to designing sophisticated software, engineers through the ages have continued to push back boundaries, either improving on original designs or putting new, exciting ideas into operation.

The secret of AFFINITUS's success lies in its corporate philosophy of listening to its customers and regularly developing its computer solutions to meet the changing needs of business in the modern world.

AFFINITUS is also committed to building long-term business relationships with its customers - that means providing stability and reliability. AFFINITUS offers unrivalled levels of expertise in consultancy, project management, system implementation and training, and, most importantly - a prompt, knowledgeable and effective support service. The company's development team also understands the wholesale environment and the role IT must play to improve performance, for today and into the future.

Your business Today

In today's increasingly competitive marketplace margins are decreasing or at best static while running costs continue to increase. To succeed and grow you must aim to achieve higher sales volumes at the best margins possible. However, trying to manage the gross margin in today's competitive climate can be a difficult task. For many it is becoming more difficult to arrive at the true cost price for some products.

There may be a myriad of discount and promotional offers to be considered from your supplier's. Some will apply over the long term while other will be offered on an ad-hoc basis, e.g. by a supplier's representative on his/her last visit. Even after you have negotiated terms, you still have the added checking to ensure that all offers agreed actually appear on supplier's invoices. Having arrived at an accurate cost price, setting a competitive and profitable sales price is another difficulty and often it is immediately under attack from your customers. There are now more competitors from whom they can choose, more product choice, their awareness level is greater and, indeed, their negotiation skills have become sharper. As your suppliers have been forced to consider deals with you, so must you with your customers. Monitoring the overall affect of the discounts, promotions, etc., that you offer can be a time consuming activity. Controlling the effect of costing implications, both with buying and selling on your profitability is the key to survival.

Flexible solutions

If the price is right you can expect volume to increase. It will however, only be sustained through continuing to provide good customer service. This process is only efficient if the goods they order are immediately available or, you are able to provide a suitable alternative or, you have controls in place to ensure speedy dispatch of the goods on back-order as soon as they become available. Situations may often occur where the sales team will apply pressure to ensure that the full range of products is stocked.

At the same time an equal pressure is imposed by those responsible for prudent financial control to reduce the monies tied up in inventory by stocking as little as possible. The juggling act comes from trying to manage the paradox of providing the highest possible product availability with the lowest possible stockholding. Although many computer systems claim to address the causes of the problems described, often their overall focus is wrong.

Concentrating on accounting, with perhaps some automated invoice production, does not provide enough control to allow efficient, accurate and timely processing of orders. AFFINITUS offers the complete flexibility to resolve these issues. Such a limited focus will also probably leave you short of information vital to your effective marketing, without which you cannot get ahead and stay ahead of your competitors.

Margin Control

Unless you as a Wholesaler, Distributor or Cash and Carry operator obtain the best possible prices from your suppliers, the pressure on the sales margin can become non-sustainable. For many this will involve tortuous rounds of negotiating at the start of the year or season and regular on-going negotiations throughout the year.

Having negotiated the best prices it is then imperative that the discounts/allowances can be recorded quickly and easily and that all related orders, deliveries and invoices can be checked automatically for adherence to these agreements. Gone are the days when customers brought a number of items and wanted delivery at your list price.

Today customers demand goods on time and at the best possible prices. Just as with our suppliers, your customers want to negotiate standard contract terms and yet take every opportunity to attempt to better those terms throughout the trading year. Handling the myriad of 'deal' requests and the variety and complexity of these can be yet another management problem. Failure to apply any of these 'deals' is to offer poor customer service. Less than excellent customer service in today's highly competitive marketplace can be fatal to your business. The business benefits are passed onto customers as they can be confident that orders will be processed quickly and efficiently, without mistakes, giving the company a leading edge over competitors.

Customer Service

Businesses who have failed to continue to achieve high serviceability levels for their customers and/or failed to manage their cost bases have failed to grow. Having provided the right product at the right price at the right time, you must then be sure that other controls are in place to ensure that you are trading with the best customers on the best credit terms, or you will only have created an additional cash flow scenario. With the proper software that provides real-time information flow and a flexible, comprehensive, ad-hoc reporting capability, businesses are better equipped to survive and forge ahead successfully.

We can help determine
